How to assign plans to members, view active subscriptions, and handle cancellations and billing failures.

Managing Subscriptions

Creating a Subscription

  1. Go to Operations → Subscriptions
  2. Click Create Subscription
  3. Fill in:

Subscription Details

  • Location — select the location
  • Plan — choose a subscription plan
  • Resource — choose the resource to assign
  • Starting at — select the start date
  • This plan will be billed until cancellation — choose:
    • Yes — the subscription runs until manually cancelled
    • No — you must select an Ending at date
  • Force Saving — allows creating the subscription even if it conflicts with an existing one

Member Information

  • Member — select the member

Financial Information

  • Sub Total — base price
  • Discount — optional
  • Total — calculated automatically
  • Payment Method — select payment method
  • Status — set the initial status
  1. Save

Resource Assignment

  • Subscriptions created from the member portal are created without a resource
  • In the admin panel, these will show Assign Resource

To assign:

  1. Open the subscription
  2. Click Assign Resource
  3. Select the resource
  4. Save

Adding Additional Resources

After creating a subscription, you can add additional resources to the same subscription.

Each added resource can have its own:

  • Starting at
  • Ending at

The cost will be:

  • Added to the same invoice (if it is still Unpaid), or
  • Included in the next invoice

Prorated calculation applies automatically based on the selected dates.

Viewing All Subscriptions

Go to Operations → Subscriptions to see all active subscriptions.

You can also view subscriptions from a member’s profile → Subscriptions tab.

How Billing Works

Invoices are generated automatically for active subscriptions.

  • If a card is saved, payment is attempted automatically
  • Otherwise, the invoice is marked Unpaid

Cancelling a Subscription

  1. Open the subscription
  2. Click Cancel subscription
  3. Confirm

Access continues until the end of the billing period.

What Happens if Payment Fails

If a payment attempt fails:

  • The system retries the charge once per day
  • After 3 failed attempts, the subscription is automatically cancelled

Auto-Renewal

Subscriptions renew automatically unless cancelled.


Common Questions

Can a member have more than one active subscription?
Yes — multiple subscriptions can exist at the same time.

Can I force create a subscription even if one exists?
Yes — use Force Saving, but this may create conflicts.

Can I assign a resource later?
Yes — use Assign Resource from the subscription.
