What Are Resource Rates?

Resource rates define how a space is priced. Each rate has a unit (Hour, Day, Week, Month, or Once), an amount, and optional rules that control when it applies — quantity range, date window, and priority.

If a space has no rates, the portal shows a "More info" button instead of "Book Now" — members can view the space page but cannot complete a booking.

Adding a Rate

  1. Open a space from its Inventory section (e.g., Inventory → Meeting Rooms)
  2. Go to the Pricing tab
  3. Click Add Rate
  4. Fill in:
    • Name — e.g., "Standard Hourly Rate", "Holiday Nightly Rate"
    • Unit — Once, Hour, Day, Week, or Month
    • Amount — the price per unit
    • Quantity — a min/max range for this rate to apply (e.g., min 1, max 4 hours). Leave blank to match any quantity
    • Effective From — the date this rate starts (required)
    • Limit — toggle on to set an Effective To end date, making the rate valid only within a specific date range
    • Priority — lower numbers = higher priority. When multiple rates match a booking, the one with the lowest priority number wins
    • Is Active — toggle off to disable without deleting
  5. Confirm

Using Date Ranges for Seasonal or Holiday Pricing

Set Effective From and Effective To to create a rate that only applies during a specific period — for example, a higher nightly rate over public holidays.

You can have multiple rates for the same unit active at the same time. Use Priority to control which one wins when they overlap. For example:

  • Holiday Nightly Rate: €80/night, 25 Dec – 2 Jan, Priority 10
  • Standard Nightly Rate: €50/night, no end date, Priority 100

During the holiday window, the lower priority number (10) wins. Outside it, the standard rate (100) applies.

Using Quantity Ranges

The Quantity field sets a min and max booking length for the rate to apply.

Example for a meeting room:

  • Rate A: €15/hour, min 1, max 2 hours — short bookings
  • Rate B: €12/hour, min 3, max 8 hours — half-day discount

The system matches the booking duration against the quantity range and selects the appropriate rate.


Common Questions

What if I don't set any resource rates? The space will show a "More info" button on the portal instead of "Book Now". Members cannot book it directly until at least one rate is added.

Can I set different prices for weekends or holidays? Yes — use the Effective From / Effective To date range fields combined with Priority to create rates that only apply during specific periods.

Can I set a minimum booking duration? Yes — use the Min Qty field on the rate. For example, set min 2 on an hourly rate to prevent bookings shorter than 2 hours.

Can I have multiple rates active at once? Yes. Use Priority to control which rate is applied when more than one matches a booking. Lower priority number wins.
