Setting Up Coliving Rooms

Creating a Room

  1. Go to Inventory → Rooms
  2. Click Create room
  3. Fill in:
    • Name — e.g., "Room 3", "Garden Suite"
    • Price — the nightly or weekly rate
    • Default check-in time — e.g., 14:00
    • Default check-out time — e.g., 11:00
    • Cancellation period — how far in advance a reservation can be cancelled
    • Require confirmation — if on, reservations need your approval before confirming
  4. Add photos, a description, and amenities
  5. Save

Room Groups

If you have several similar rooms (e.g., "Standard Room × 4"), create them as a group. The system assigns an available room automatically when a member books — you don't need to decide which room goes to whom.

Room Statuses

Each room has two combined indicators visible in the admin panel:

Displayed Status What it means
Vacant · Clean Unoccupied and housekeeping status is Ready
Vacant · Dirty Unoccupied but housekeeping not yet completed
Reserved A guest is expected but has not yet checked in
Occupied Guest is currently checked in
Maintenance Out of action for repairs

The housekeeping component (what you manually set via Change Room Status) has four values: Ready, Cleaning, Not Ready, and Maintenance.

When a guest checks out, the room's housekeeping status automatically moves to Cleaning, making the room show as Vacant · Dirty until you mark it Ready.

Updating a Room's Housekeeping Status

  1. Go to Inventory → Rooms and tick the checkbox next to the room
  2. Click Actions → Change Room Status
  3. Select the new status (Ready, Cleaning, Not Ready, or Maintenance)
  4. Add notes if needed (e.g., "deep cleaned, towels replaced")
  5. Save

Every status change is logged automatically.

Viewing All Room Statuses

Open Inventory → Rooms to see the current combined status of every room at a glance. Use the Room Status filter to quickly find rooms by availability or housekeeping state.


Common Questions

Can I set different check-in times for different rooms? Yes — each room has its own default check-in and check-out time.

What if a room needs maintenance before the next guest? Change its status to Maintenance. The room will not appear as available in the booking portal until you change it back to Ready.

How do I deactivate a room permanently? Deactivate the room from its settings — it will no longer appear in the portal. Existing reservations are not affected.
